To ensure best possible quality and stability of the broadcast we recommend using a direct LAN connection (as opposed to wifi). 

  • Make sure before beginning of the conference that the audio and video quality of your PC/laptop is sufficient 

  • Check if you've installed the latest version of your browser 

  • We do not recommend using Internet Explorer for connecting to the conference and remind you not to have too many tabs open in your browser 

 

Information on how to prepare your presentation

You can present your lecture live or as a pre-recorded presentation.
If you want to pre-record your lecture please find below detailed information on how to record your presentation.

A recording of the presentation is necessary to guarantee a smooth running of the congress.
It is up to you which program you use for recording your presentation. However, we recommend using Microsoft PowerPoint from 2019 or Office 365 to record with a webcam. This works with Mac or Windows. You can find an instruction video here:

Moreover you can use the following services:

- OBS saves your recording(s) locally on your computer. It is an open-source recording tool. Since the tool can also be used for livestreams the handling is slightly complicated. However, if you need to record presentations frequently in the future, an installation of OBS could be useful.

- LOOM saves your recording(s) on servers in the cloud. With LOOM you can record presentations up to 5 minutes free of charge. There is also a one-time 14-day trial version to create unlimited videos (without automatic subscription) (for Windows and Mac). To activate you can follow this link:

- Mac users can record their presentation with the QuickTime Player, but without a webcam.

Advice on recording:
- Test microphone and webcam settings before recording
- If possible, record with daylight or another suitable light source
- Avoid sourrunding noise, remove disturbing sources (telephone, pets etc.)
- Record in small/not empty rooms (carpeting has a positive effect on the sound quality)
- Please enter your name in the footer of your presentation ("Insert">"Header and Footer")

Zoom background

Use the digital background for your camera settings during active session participation. Here you will find a guide to the background settings:

Quick guide

    Start Zoom and click on "Settings". You will see the tab "Virtual background".
    You will now see pre-installed backgrounds. If you want to use your own picture as a background, click on "+ Add picture". You can now select a photo or graphic of your choice.
    If you want to activate the background only during a conference, click on the circumflex, i.e. ^, and then on "Select virtual background".

Participating at the scientific program

As active participants (conference chairs/speakers): 

  • Please make sure your browser and operating system support Zoom

  • Please make sure you have installed the Zoom-client for meetings. 

  • Please make sure that your internet connection can reach at least 2 MB/s in uploads and at least 4 MB/s  in downloads. You can test your connection speed here. 

  • Please make sure you have good audio quality and you can be heard properly. You can check your settings beforehand 
    here. Using a headset may enable best audio quality. 

  • It is advised to use a laptop or desktop PC to ensure an optimal presentation. However, the use of a mobile device (mobile phone or tablet) is also supported by our software. 

Code of conduct 

General guidelines 

  • Only use your real and full name for the congress unless your pseudonym is commonly known. 

  • You can of course set up a profile picture (ideally potrait picture of yourself where your face isn't hidden) so other participants can find and contact you easier. 

  • Recording presentations in any way (video, audio, screenshots) and the distribution of such materials is strictly prohibited. 

Chat & conversation guidelines 

  • Meeting each other with ploiteness and mutual respect are our highest priority. 

  • Please follow the directions and informations from the conference chairs 

  • Personal insults or insulting comments of any sort within the chat are prohibited and will be deleted immediately 

  • Spam and unauthorised advertisments are also prohibited and will be deleted immediately 

 

The organisers reserve their rights to exclude any participants violating any of the guidelines from the congress. 

Only registered participants can join the Zoom webinar. The access data to the Zoom webinar will be send out via e-mail on January 27, 2022.
